Privacy Policy — Gentle Productivity

Aideas LLC ("we", "us", "our") operates the Gentle Productivity application (the "App").
Information We Collect
Account Data. When you create an account, we store your email address for authentication. We use passwordless sign-in (magic links) — we do not store passwords.
Task & Content Data. Tasks, brain dumps, ideas, and notes you create are stored locally on your device. If you are signed in, this data is synced to our secure cloud service so you can access it across devices.
Voice Data. Voice recordings are processed on-device whenever possible. Audio is never permanently stored on our servers. If cloud transcription is used as a fallback, the audio is transmitted securely and immediately discarded after processing — only the resulting text is saved.
AI-Processed Data. If you opt in to AI features, task text and brain dump content may be sent to our secure servers for processing (e.g., breaking tasks into steps, organizing thoughts). Only the text content is sent — never your email, identity, or personal information. AI processing is entirely optional and can be disabled in Settings.
Location Data. If you opt in, the App may request your approximate location (city/country level) to provide contextual suggestions during AI processing. Location is used for a single request and is never stored or tracked.
Crash Reports. We collect anonymous crash reports and performance data to improve app stability. These reports do not contain personal information or user content.
How We Use Your Data
- To provide the App's core functionality (task management, sync, AI features).
- To sync your data across your devices when signed in.
- To improve app reliability through anonymous crash reporting.
- We do **not** use your data for advertising, profiling, or sale to third parties.
Data Sharing
We do not sell, rent, or trade your personal data. We share data only with the following categories of service providers, solely to operate the App:
- **Cloud infrastructure providers** — secure database hosting and authentication
- **AI service providers** — task and content processing (text only, no identity data)
All service providers are contractually required to protect your data and use it only for the purposes we specify.
Your Choices
- **AI Processing:** You can enable or disable AI features at any time in Settings → Privacy & Data.
- **Location Context:** You can enable or disable location access at any time in Settings → Privacy & Data (mobile only).
- **Notifications:** You can customize notification preferences and quiet hours in Settings.
- **Data Export:** You can export all your data as a JSON file from Settings → Danger Zone.
- **Account Deletion:** You can permanently delete your account and all associated data from Settings → Danger Zone. Deletion is processed immediately and all data is removed from our servers within 30 days.
Data Security
We use industry-standard encryption for data in transit (TLS) and at rest. Row-level security ensures your data is accessible only to you. All AI processing happens server-side through secure, authenticated connections.
Children's Privacy
Gentle Productivity is not directed at children under 13. We do not knowingly collect personal data from children under 13. If you believe we have collected such data, please contact us and we will promptly delete it.
International Users
Your data may be processed in the United States. By using the App, you consent to the transfer and processing of your data in the United States.
Changes to This Policy
We may update this policy from time to time. Material changes will be communicated through the App or via email. Continued use of the App after changes constitutes acceptance of the updated policy.
